Case study · Booking system
A custom system instead of a rented booking tool: online booking, membership handling, automated emails and an admin interface built exactly around how the studio works.
The studio used an external subscription booking system that covered the basics but could not be adapted to how they actually work. Handling passes, promotional prices and unusual class lengths required manual work, and the system did not match the studio's branding.
The biggest problem was not the number of bookings, it was operating the system. The admin interface was confusing, client data was awkward to manage, and the system sent out debt reminder emails on its own, which then had to be sorted out afterwards. All of this took significant time from the studio every day.
On top of that the interface could not be matched to the studio's brand, and Google tracking returned inaccurate data, so marketing decisions could not be based on solid numbers.
A fully custom PHP/MySQL booking system on the studio's own domain, with their own branding:
Clients received the new interface well, and on the studio's side manual work dropped to a fraction: what used to be a daily chore now takes minutes. The system runs in the studio's own branding on their own domain, and tracking is accurate, so advertising results can finally be followed properly.
Currently more than 100 bookings per week go through the system. Development continues: online payment and card-based pass purchase are next.
